ExxonMobil’s state-of-the-art campus north of Houston serves as home to its Upstream, Product Solutions and Low Carbon Solutions businesses and their associated service groups. The facility opened in 2014 and accommodates more than 10,000 employees and visitors.

What role you will play in our team
We are looking for an administrative assistant to support our clinic at the Houston corporate campus. We are constantly looking for opportunities to improve processes and provide excellent customer service to the business.
What you will do
Provide administrative support to our clinicians and occupational health manager
Manage patient/clinic flow, schedule patient appointments, answer telephones, tend to the waiting room window
Maintain master staff calendar, provider coverage calendar, page log, and on-call messages log
Coordinate and schedule meetings (procurement of laptops, projectors/audio, catering/meal tickets, create and distribute agenda/minutes)
Organize and arrange special events and celebrations including logistics, catering, and venue selection
Pay invoices for the Medicine and Occupational Health (MOH) department
Ensure clinic access is controlled to protect confidentiality of medical records through monitoring of keys and security measures
Responsible for implementation of standard corporate administrative practices in compliance with controls and regulations
Serve as a SharePoint coordinator the clinic
Initiate Personnel Change Checklist arrival/departure for clinic employees/contractors
Track and report contractor hours
Generate and manage IT Services/eMERGE/Special Access/Gate Clearance requests for workgroup
Process shipments using UPS CampusShip
Order and maintain supplies, business cards, stationary, and envelopes
Serve as a Procurement cardholder for the clinic
Maintain Records Retention schedule/guidelines for department
Scan hard copy medical records into the electronic medical record system
Serve as the flu shot campaign coordinator
Call ambulance in emergency situations
We are looking for someone who has a strong administrative background and has the following
Skills and Qualifications:
Experience as an administrative assistant in a fast-paced customer-facing environment
Advanced level English capability
Ability to effectively work with a team of clinicians
Attention to detail, proactivity and teamwork
Strong analytical and communication skills
Experience working in a clinical environment
