Administrative Assistant (Marine/Subsea)


Job description

Our client, a major Oil & Gas company, is seeking an Administrative Assistant (Marine/Subsea) to work a contract until the end of 2022 with the possibility of an extension in St. John, NL.

The Administrative Assistant – Marine/Subsea is mainly responsible for providing support to the marine/subsea team and other teams as required. The role will communicate and work with employees from every level of the organization to ensure day to day administrative needs of the team are met.


  • Complete onboarding tasks and service requests ensuring new hires have appropriate hardware, access and applications
  • Assist with scheduling/coordination of internal and external meetings
  • Arrange domestic and international travel – flights, hotel accommodations, etc.
  • Act as HDMS super user for reserving document numbers, uploading documents and performing document searches
  • Assist in presentation/report preparation, formatting and distribution
  • Create/revise requisitions in SAP
  • Perform other administrative duties as required


This role is responsible for providing support to the marine/subsea team as required.


  • Certificate in Business Administration or Office Administration
  • Minimum of 10 years of experience working in an administrative role
  • Proficient in Microsoft Office Suites
  • Experience with SAP/Concur considered an asset
