Administrator, Business Operations
 
Job description

Administration

  • Coordinate and assist with completion of visa applications
  • Arrange booking medicals and if required keep track of offshore survivals courses when completed
  • Creation of annual department calendar, to update with leave of absence
  • Assist setting up new starts and arrange familiarisation required in OneFleet and keep track until completion
  • Completion and submission of department expenses
  • Manage Business Operations Gdrive access and applications
  • General administration duties including formatting documents, ordering stationery, filing, archiving, photocopying, compilation of documents, proof reading, schedule meetings and taking of meeting minutes

Procurement

  • Analyse and report on supplier spend and performance
  • Maintain the Supplier Management Database (SMD), approvals and inputs for OneFleet contracts and insurance team and shared services procurement
  • Assist on purchasing helpdesk, assigning tasks to purchasing team
  • Raise requisitions, purchase orders and receipting

Contracts

  • Progress and manage supplier pre-qualifications
  • Liaise with suppliers to update certification and financials required and input information on the SMD
  • Manage contract dashboard and ensure data accuracy for spend reports
  • Assist with the insurance claims process
  • Assist with the Invitation To Tender (ITT) process, in uploading documents, creating suppliers in EPC and downloading information for tender evaluation
  • Assist with rebates and credit notes

Reporting

  • Maintain and update OneFleet contract report in Power BI
  • Collate different data to produce a monthly contracts and procurement report
  • Assist the department in creating reports and analysis of data
  • Support the Business Operations department managers in the implementation of improvement initiatives as required

Communications

  • Assist Communication Officer during webinars (set up slides, review and publish questions)
  • Update and maintain OneFleet POP page if required
