DESCRIPTION OF ROLE

To assist the Document Control Discipline Lead/Team Leader in supervising and maintaining a consistent approach to the control and management of Project and other documentation using the Company Document Control System. Maintain a comprehensive Document Control System as required to fulfill the requirements of any specific project.

POSITION OVERVIEW

 Generic Key Responsibilities & Activities 

  • Maintain a comprehensive Document Control System as required to meet the requirements of any specific project. 
  • To be the focal point for all Project documentation, accounting for all documentation received and transmitted.
  • Be fully familiar with and comply with the departmental requirements of the following systems:
    • Company’s Document Control system – ProArc
    • BMS
    • PM7
  • Participate in initiatives to improve Document Control systems and procedures.
  • Manage the flow of technical documentation and supplier in projects, verbally and in report format, ensuring that documentation is produced in a timely fashion, all comments are collated and filed, and a full audit trail is visible. Ability to apply to larger contracts e.g. EPIC.
  • Liaise with Project Teams to identify mobilization requirements prior to and through to completion of package.
  • Liaise with Project Teams to identify As-Built requirements prior to and through to completion of package.
  • Ensuring compliance to company procedures and contractually agreed conditions.
  • Assist Document Control Team as and when requested by the Document Control Team Leader
  • Show a thorough awareness of Document Control procedures and processes and present to projects.

KEY QUALIFICATIONS/EXPERIENCE

  • Relevant previous experience at an appropriate level in Document Control and/or similar environments
  • Educated to College/School Diploma level in Administration / Business Studies or other relevant subject.
