Summary

 

The Operations Administrative Assistant is a supportive role for the field operation and the finance team. The person will be responsible for managing and providing support to our field operations, managers, and employees, assisting in day-to-day operations, and managing our company’s general administrative activities.

 

Responsibilities

 

  • Data Entry of Service Purchase Orders
  • Maintain Rental Sheets and Rental Purchase Orders
  • Create Service & Part Purchase Requisition
  • Purchase Order and payment investigation
  • Monitor VIM workspace to ensure timely resolution of exception items
  • Run and maintain Open Backorder PO/PR reports
  • Prepare month-end accrual reports
  • Maintain open GR/IR report, contact vendor for missing invoice
  • Assist and Track Work Orders & 3P WBS’s from start to finish
  • Assist with Fuel PO’s
  • Provide Operations with WO & WBS summary reports
  • Identify GL code correction, and provide support to finance for reclassification
  • Assist Operations with running various SAP financial reports
  • Review and approve MDTotco and Pason consolidated billing summaries
  • Maintain Rig Directions & on calls list
  • Maintain Overhead invoices
  • Respond to and support vendors and head office
  • General office management duties, including incoming calls and vendor visits
  • Responsible for assisting with training and meeting events
  • Other various duties as required

  • Ability to interface with all levels of staff, including senior management, and external vendors

  • Ability to respectfully handle highly confidential information

 

 

Experience

 

  • Must be pursuing a business degree with an accounting or business administration focus
  • Must possess strong knowledge of business software applications (proficient in MS Excel, Word, and PowerPoint)
  • Knowledge of SAP or other large company ERP a plus
