Job Description:
Our client is seeking an experienced Production Administrator to support production administration, inventory governance, stores control and inbound supply coordination. The successful candidate will be responsible for maintaining accurate production and inventory records, supporting appropriate stock availability, coordinating stores activities and inbound logistics, and providing reliable operational reporting. The role works closely with Production, Finance, Sales, Service, Engineering and senior management.
Responsibilities:
- Manage day-to-day production and operations administration, including production orders, job setup and bill-of-material accuracy.
- Maintain effective controls across receiving, storage, stock rotation, picking, issuing, dispatch and inventory adjustments.
- Coordinate stores requirements in support of production schedules, sales orders, service requirements and project priorities.
- Monitor inventory transactions, open orders, shortages, backorders, stock reservations and stock availability.
- Coordinate stock takes and cycle counts, investigate variances and maintain accurate inventory records.
- Monitor reorder levels, lead times, stock usage, shortages, excess stock, slow-moving stock and replenishment requirements.
- Prepare and place authorised replenishment orders and expedite critical stock requirements.
- Coordinate stock requirements with Production, Sales, Service and Engineering.
- Arrange international and domestic freight, including quotations, bookings, freight forwarders, clearing agents and required customs and import documentation.
- Track inbound shipments and resolve delays, shortages, damages and documentation issues.
- Prepare and analyse stock-take, inventory, supplier performance and operational management reports.
- Maintain accurate, traceable and audit-ready inventory and stores records.
- Support quality controls for incoming stock and assist with internal and external audits.
- Identify and recommend improvements to inventory, stores, logistics and production administration processes.
- Escalate critical shortages, significant stock variances, supplier failures, customs delays and other operational risks.
Requirements: Qualification and Skill
- Relevant diploma or qualification in Supply Chain, Logistics, Operations, Procurement, Finance Administration or a related field. Substantial relevant experience may be considered in lieu of a relevant qualification.
- Minimum of 5 years’ relevant experience within manufacturing inventory, production administration, warehousing, procurement or logistics.
- Practical experience working with ERP systems, with SAP Business One strongly preferred.
- Strong Excel skills, including reconciliations, data validation, pivot tables and management reporting.
- Working knowledge of bills of material (BOMs), production orders, inventory valuation, stock-taking controls and international freight.
- A valid South African driver’s licence is advantageous.
