Job description

Airswift has been tasked by one of our key clients to seek a Site Project Coordinator to join them in the Leirvik Yard (close to Bergen), Norway on a 10-month contract.

Typical main activities and responsibilities:

Document control onsite:

  • Obtain document signatures and log documents into our client’s document control system (MOM, ITP, RSS, SR, SQ, etc.)
  • Liaise with the SBM document control team in Monaco
  • Maintain an updated register of site issued documents

Project Control and Administrative role onsite:

  • Coordinate team’s weekly timesheets, client signature, and liaise with the project control team for monthly reporting
  • Organize site venues, meetings, inspections, notifications (by calendar invitation), organize meeting rooms
  • Log and report the where about of all client’s team members and client’s vendors
  • Edit monthly reports (dashboard / MOM / etc.)
  • Follow up project correspondence (client software PIMS)

Services and cost control:

  • Liaise with local agent for all services provided onsite
  • Coordinate and log service requests to local agent (apartment rental, car rental, mobile phones, taxi pick up, etc.)
  • Monitor and review local agent invoices and liaise with Cost Control Engineer

Mobilization and rotations:

  • Liaise with the client team for all local administrative requirements (for VISA, Tax, etc)
  • Obtain Project Manager approval for Service Request Form
  • Coordinate with our client’s HR team for mobilization and rotation flights to be booked timely
  • Coordinate with vendor package managers for any required vendor assistance to mobilizations
  • Assist all visitors in administrative and logistic matters

Business trips:

  • Liaise with our client’s Project Secretary to make sure the Travel Approval Form (TAF) has been raised and approved by the client prior to any travel
  • Prepare Service Request Form and Project Manager’s approval
  • Liaise with the client team to obtain yard entry pass, safety induction, etc.…


  • Lead local procurement services, obtain quotations, raise MRF, track deliveries, log cost, follow up invoices
  • Assist material coordinator in consumable and top up material requisitions, organize timely delivery and storage at local agent when necessary

Profile / Background / Essential skills:

  • English language: fluent, written and spoken
  • Norwegian language: fluent
  • Proficient in Microsoft Excel, Word, and Power point
  • Good organizational and communication skills, must be able to multitask
  • Good interpersonal skills, must integrate well with the site team
  • University degree would be considered a plus
