JOB TITLE: COMMERCIAL/TENDERING SPECIALIST – WELL SERVICES

DIRECT REPORT: COO

LEVEL: Senior Management

JOB TYPE: Full Time

PREFERED YEARS OF EXPERIENCE: At least 3 years of experience in tender filing, preferably in the government or oil and gas industry.

SALARY: N300,000-N600,000 gross monthly salary

JOB OVERVIEW:

Coordinates activities that affect tendering and bidding processes, operational decisions

and business requirements in the company.

GENERAL OBJECTIVE:

To make sure that the organisation is running as well as it possibly can by setting up

processes for project execution and quality control standards, for smooth and efficient service

delivery that exceeds the expectations and needs of customers and clients.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Prepares tenders and standardized tender templates and documentation.

Develops the bid and tender strategy

Prepares initial tender documentation and coordinates obtaining the required approvals.

Maintains a list of qualified vendors, especially as related to planned tenders

Compilation of various input to create a more complete tender proposal

Monitoring deadlines

Evaluation and contract negotiation

Liaises with the Other Departments on an ongoing basis with respect to Tender requirements

and Tender status
Corresponds with vendors in conjunction with the tender process as required,

i.e., non-disclosure agreements, confirmation of interest, etc.
Assists in preparation and/or review of Tender Documentation Packages comprising

of Instructions to Bidders, Contract Form, General Terms Conditions, Bid Forms, etc.
Assemble and maintain internal Procurement documentation relating to the

tendering process, including recording management approval relating to tendering and
contracting actions.
Maintains tender files and arranges their archiving upon Tender completion

Prepares Tenders status reports and expected timelines on a regular basis and when

requested.
Prepares correspondences to internal departments, bidders and contractors

Follow through successful acquisitions to completion

Conduct tender searches and prepare quotations, offers, and bids for online bidding and e-tendering.
Handle tender and bid follow-ups, filing, and documentation, as well as order

and supply follow ups and payment follow-ups.
Drive sales and business opportunities through bids and tenders via NipeX Portal.

Prepare all tender documents in the specific formats related to the bid and submit the

documents within stipulated time limits on the above-mentioned portals.
Have good knowledge of government tender online and offline filing, and submission of bids.

Coordinate with respective officials and document the progress of the tender.

PERSON SPECIFICATION:
HND/ B.Sc. in any discipline from a reputable academic institution.

Experience in Tender processes – RFI’s, RFQ’s and RFP’s

Procurement Contracting skills

Proficiency in Microsoft Office Applications (Word, Excel, PowerPoint)

Strong knowledge of local business practices and legal processes

Demonstrated ability to perform independently with minimal supervision

Fluency in spoken and written English

At least 3 years of experience in tender filing, preferably in the government

or oil and gas industry.
Good knowledge of online and offline tender filing and submission procedures.

Ability to coordinate with various departments and officials to prepare tender

documents and follow up on bids.
Ability to effectively communicate with all levels of employees in the organization.

Good organizational skills to manage the tender filing and documentation process efficiently.

Adequate knowledge of organizational effectiveness and operations management.
