Role: Document Controller – [Contract]

Role Summary

Managing of project management related documents, archiving files hard copies and soft copies on (share point) and ensuring all team members have access to necessary documentation. Maintain transparent, up-to-date and easily traceable documents and strong ability to spot errors. Maintain and control document numbering system schedule.

The role’s responsibility will span:

Project Pre-Execution: Measurable contribution to organization project policy and process.

  • Copy, scan and store documents
  • Check for accuracy and edit files – such as project management documentations.
  • Review and update technical documents (e.g. manuals and workflows)
  • Distribute project-related copies to internal teams
  • File documents in physical and digital records
  • Create templates for future use
  • Retrieve files as requested by project manager and other project team.
  • Manage the flow of documentation within the organization
  • Maintain confidentiality around sensitive information and terms of agreement
  • Prepare ad-hoc reports on projects as needed.

Project Execution: Measurable degree of construction projects alignment to approved procedures and organization overarching project objectives.

  • Storage and easy access to the latest and Approved project documentations – drawings, procedures
  •  Constantly update changes in project documentations.
  •  Ensure easy access and retrieval of updated documents.

Project Commissioning: Measurable degree of projects commissioning alignment to approved commissioning procedures.

  • Provision and easy availability of organization pre-commissioning and commissioning sheet..
  • Styorage of approved Close Out Reports
  • Archiving of all project management related documents – letters, approved procedures, contracts, close-out reports, JCC, Invoices etc.

Translation of best Project Management practice, skills, and expertise in Construction Project:

  • Ability to prioritize activities, where required.
  • A good team player.
  • Good in planning and coordination.
  • Effective communication and interpersonal skills to collaborate with multidisciplinary teams

Performance & Talent Management.

  •      Performs any other duties/tasks as assigned by line manager and senior construction superintendent.

Critical Competencies

  • Proven work experience as a Document Controller.
  • Familiarity with project management
  • Basic knowledge of labor and corporate law
  • Hands-on experience with MS Office and MS Excel
  • Knowledge of Electronic Document Management Systems (EDMS)
  • Proficient typing and editing skills.
  • skills to collaborate with multidisciplinary teams.
  • Excellent organization skills,
  • They should also be very familiar with various document management systems such as Share-point,
  • Fast typing skills and attention to detail
  • Bachelors in Degree.
  • 12+ years’ experience in oil and gas projects construction.
