We are looking for an experienced and self-motivated individual to fill the position of Administrative Coordinator within our Convent Plant located in Convent, Louisiana.

 

Supports the core values of the organization through establishing expectations and maintaining a focus on safety, environmental compliance, quality, cost consciousness, reliability, and operations.

  • Supports and participates in programs, methods, systems, and practices for maintaining a safe and environmentally sound work environment.

  • Provide administrative support to the Plant Manager and assist the HR Manager in the administration of company and plant policies and procedures.

  • Demonstrate attention to detail and dedication to work, ensuring work site reliability and the delivery of high-quality products

  • Serve as a main contact for employee inquiries

  • Generate and maintain HRIS records for personnel changes, including hiring, pay adjustments, promotions, transfers, retirements, and terminations.

  • Manage and track attendance and discipline records, maintaining confidentiality of personnel files for active, retired, and terminated employees.

  • Maintain various reports, including weekly, monthly, and annual reports, running queries to generate required data.

  • Track and report on metrics such as headcount, attendance, double-time/upgrade, and overtime

  • Collaborate with payroll to resolve pay issues for both hourly and salaried employees

  • Assist in resolving workers’ compensation issues, collaborating with payroll and medical as needed

  • Aid in the hiring process, including scheduling, testing, interviewing, and onboarding

  • Provide support during emergency situations

  • Assist with implementation of the plant’s EEO/Diversity philosophy

  • Regularly purchase and submit expense and Procurement Card reports for administrative supplies

  • Arrange meetings and lunches for business meetings and customer visits

  • Distributes and processes incoming and outgoing plant mail.

  • Assists with new employee orientation and onboarding.    

  • Assists in planning, preparation, and execution of all plant functions and employee activities.

  • Assists in processing and tracking Charitable & Community Relations contributions.

  • Supports the Document Custodian. Coordinates record and file retention programs plant wide following OxyChem’s record retention schedules. Maintains all personnel and confidential files.

  • Coordinate and oversee all employee training information, course and instructor coding, curriculum development and training documentation input in the LMS recordkeeping system.  This includes issuing reports to identify training needs and provide assistance during compliance audits.

  • Participates in and supports training activities and will demonstrate individual commitment to HESS and respond by demonstrating individual specific HESS responsibilities.

  • Responsible for organizing and prioritizing heavy workloads with accuracy and minimal supervision, meeting critical deadlines.

  • Actively supports and participates in plant and corporate safety, environmental and quality programs to continually improve plant operation through the use of Oxy safety, environmental and quality tools.

Qualifications

 

  • Minimum of high school diploma or equivalent

  • 5+ years relevant experience preferred with strong, demonstrated organization skills, and administrative competencies.

  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.

  • Must be able to interact and communicate with individuals at all levels of the organization and with key customers.

  • Work requires continual attention to detail in composing, typing, and proofing materials. Must be able to work in a fast-paced environment with demonstrated ability to organize and prioritize heavy and diverse workloads with accuracy while meeting critical deadlines and maintaining composure under pressure.

  • Ability to work a flexible schedule, including overtime, when required.

  • Demonstrated ability to be self motivated

  • Strong written and oral communication skills.

  • Demonstrated high level of proficiency in PC applications and operating systems, Microsoft office products (Outlook, Word, PowerPoint, Excel, and Workday knowledge preferred).
